Records Commission Meeting

Attendance: Barb Rohs, Don Apking, Lori Radcliff, Tim Burke and George Synder.
The first item on the agenda was to approve the minutes from 8-14-08. A motion to approve the minutes was made by Mr. Snyder and seconded by Mr. Apking and unanimously approved.
The next item was to go through the list of changes to the Retention Schedule. The Police Department had a list of changes to the schedule that were all approved. These changes, plus the changes from the 8-14-08 meeting will be submitted to the State of Ohio for final approval.
1. EPD Annual Reports – Permanent- Add to section 7
2. EPD Monthly Council Reports - Until incorporated into annual report- add to section 7
3. Vehicle Tow Logs - 3 yrs. - replace wording B.055
4. Vehicle Tow Sheets - 3 yrs. - replace wording B.055
5. Recites - 2 yrs.- add to schedule
6. Extra Patrol Requests - 1 yr. - add to schedule
A copy of a “Statement of Reason for Denial or Request” was presented to Tim Burke. It was his recommendation that we do not send out a form letter but the clerk can use it as a guide.
There will be 9 new employees attending the records retention training next week.
Meeting was adjourned.
